Booking systems are increasingly in demand as they can provide instant confirmation for the client and a host of features to make life easier for you the therapist. WebHealer has been working with the popular 10to8 booking service to simplify the process of adding a booking system to your WebHealer website.

Introduction

Booking systems are now mainstream and as people get more and more used to them there's a chance that if you don't have one on your website people will choose a different therapist who does.

For a number of months we have been investigating the available services in order to find one that can easily be plugged in to your WebHealer website. It is not our intention to restrict to one provider but we have found a service which we believe meets the needs of most of our customers. These are the criteria we used in our search process.

  1. Price. Value for money is at the heart of the WebHealer service so this is always a top priority
  2. Online payment. The ability for a visitor to make payment with their booking.
  3. Text reminders. Automated text reminders can save a lot of inconvenience and lost revenue through minimising missed appointments
  4. Multiple locations. Therapists typically work in more than one location but not all booking systems allow for this
  5. Support. Booking systems typically have a lot of features and so good quality support is needed especially at the start
  6. Speed and integration. The booking form should be responsive and able to be embedded into a WebHealer page

10to8

10to8 is a UK company although they are used on thousands of websites internationally. Here is a link to their website, but don't sign up using this link or you'll miss out on the very favourable terms we have negotiated for WebHealer clients. https://10to8.com

10to8 do have a free plan called "Small Business" however there are 2 reasons why this may not be for you:

  1. Single location: The free plan assumes you only work in one location
  2. Branding: There is a rather large 10to8 logo on the booking form which can cheapen the appearance of your therapy practice and make it look less professional

The plan which we believe is likely to be most useful for our clients is called "Grow". It includes multiple locations and allows you to put your images (including logos and Google Maps) into the booking form. The public price of this is however quite high at £25+vat/month paid monthly (or £20+vat/month if paid up front for a year). We have therefore negotiated the following 10to8 WebHealer Plan.

The plan we have negotiated for our clients will cost you £9+vat/month for the following:

  • Multiple locations
  • No 10to8 logo. Customisable branding on the booking form and text messages
  • SMS/Text included
  • 60 appointments per month
  • Online payment
  • 2 staff logins
  • Online support

Getting Started

You can't sign up for the 10to8 WebHealer Plan from 10to8's normal public web pages, but only via the following link and using the following steps. Before we provide the link though please be aware that

You will be one of the very first WebHealer clients to use this service and within the WebHealer support team it is very much in trial stage. Any technical questions should be put directly to 10to8 however any questions you may have about embedding it into your WebHealer website should come to us though response times are likely to be slower.

Having said that we are keen that our customers are successful in adding this booking system to their websites and will be working very hard to address any complications to make it as smooth a process as we can.

Step 1 - Sign Up

Visit the following link and sign up for a free trial of the 10to8 WebHealer Plan. Please do not click through to other parts of the 10to8 website or the special terms will be lost.

Once you have signed up you should see the following in the bottom left of the 10to8 control panel.

Step 2 - Payment

Although you will be asked for credit card details soon after setting up the account you can now use the booking system free for 30 days . If you close your account within that time no charge is made. You will see a pop up box asking you to provide your credit cards details for payment as shown here. When you click the box you will see that the rate is £10.80 monthly inc VAT. 

 

Step 3 - Taking bookings / Website integration

To start taking bookings you have 3 options.

  1. Send people your unique booking link. By clicking Online Booking on the left of the 10to8 Control Panel you will be shown a unique link which you can send to people
  2. If you are using WebHealer's latest Social ColourMax design (including Gold or Silver designs) you can add a Book Now button to your WebHealer website. Just go into the Administration Area of your WebHealer website and visit the Special Features page. Scroll down to the Social Media and Booking Features section and you can paste your unique booking URL into the Booking System Link box. Then when you go back to your website you will see a box at the top of the sidebar like this example
  3. You can also embed the booking form inside one of your pages. This is done using some code that can be copied and pasted into any of your WebHealer pages. To get the code click Online Booking on the left of 10to8's control panel, then click <> HTML Widgets underneath. Now scroll down the panel on the right until you see the following then click Copy to Clipboard.
    You can now edit any of your WebHealer website pages and paste this code into one (or more) of your pages.
